One timeline for jobs and crew

For a production, asking who has time is rarely enough. An audio shift needs the right equipment experience, a suitable time slot and a clear acceptance. When those details live in separate calendars, lists and messages, the current plan takes work to piece together.

The SAVIE Planner shows jobs and roles above, with crew and their bookings below. You can see the staffing requirement in its time context and work on the assignment there. Planner is designed for dispatch on computers and tablets.

The example: an audio shift requiring Yamaha CL5

In the video, we plan a live session in Vienna. The “Show & Aufbau” job needs one audio technician from 18:00 to 23:00 with very good Yamaha CL5 knowledge. Two stagehands are planned separately for load-in; the video focuses on the audio assignment.

This specific requirement is the starting point for selection. Audio describes the discipline. Yamaha CL5, the required proficiency and the shift describe who could cover this particular assignment.

Compare suitable candidates directly against the role

Select the audio role to see suitable candidates and the relevant time window. The suggestions let you compare equipment proficiency with the requirement, keeping selection connected to the actual assignment.

“No known overlap” means that the available data does not show a time conflict. It is not the person’s acceptance. You review the information and decide whom to approach.

Options, requests and confirmations serve different purposes

In our example, we first mark Lena as an internal option. This records the selection in the plan without informing the crew yet. Once the selection is ready, we review the person, role and shift and send the booking request.

Only after Lena accepts does Planner show the assignment as confirmed. The audio role is then covered; the two stagehand positions remain open in this example.

  • Option: recorded internally; no message sent to the crew yet.
  • Requested: the request has been sent and awaits a reply.
  • Confirmed: acceptance has been received and is visible in the plan.

What changes in day-to-day dispatch

The value comes from seeing the information together: the open role, suitable people and the booking status are part of the same plan. When a question comes up, you can tell whether someone is an internal option, has been asked or is confirmed.

This is particularly useful when preparing several roles and productions at once. An occupied slot is not automatically a confirmed assignment. The visible status shows which next step is still needed.
